These Terms & Conditions explain how Nepwise Adventures operates and what travelers agree to when booking a trek with us. Please read this page carefully before confirming your booking.
By booking a trek through Nepwise, you acknowledge that you have read, understood and agreed to these Terms & Conditions.
1. Booking & Payment
1.1 What You Pay Before the Trek
Nepwise charges only for the fixed essentials required to begin your journey:
Licensed trekking guide
Required trekking permits
Ground transportation included in the itinerary
This amount is clearly shown at the time of booking.
1.2 Payment Policy
Because our fixed costs are low (usually under USD 400), we require:
100% payment at the time of booking.
This allows us to secure your guide, permits and transportation immediately.
1.3 Information Required
To complete your booking, you must provide:
A valid passport copy
Correct personal details
Emergency contact information
Delays in providing this information may affect permit processing.
2. What Is Not Included
Nepwise does not bundle daily expenses such as food and accommodation. These are paid directly by the traveler on the trail.
This includes:
Tea house rooms
Meals and drinks
Charging, hot showers or WiFi fees
Porter costs (if you choose to hire one)
Your guide may suggest reliable options, but decisions and payments are fully your choice.
3. Cancellations & Refunds
3.1 Cancellation by the Traveler
40 or more days before trek: Full refund
30 to 40 days before trek: 50% refund
15 to 25 days before trek: 25% refund
Less than 10 days: No refund
Important:
Government-issued permits are non-refundable once processed.
No refunds for unused services once the trek has started.
Leaving the trek early does not qualify for partial refunds.
Extending your trek may be possible but must be paid in advance.
4. Health & Fitness Requirements
You must be in good physical and mental health to join a trek.
It is your responsibility to:
assess your fitness
consult a doctor if needed
disclose medical conditions, allergies or medications
Nepwise is not responsible for health issues arising from undisclosed conditions.
5. Risks & Safety
Trekking in Nepal involves natural risks including:
altitude sickness
weather changes
landslides or trail disruptions
injuries
transportation delays
limited medical facilities
Our guides provide risk assessment throughout the stages to identify potential hazards and ensure safety, but these risks cannot be fully controlled.
By booking a trek, you accept these risks and participate at your own responsibility.
6. Itinerary Adjustments
Unforeseen circumstances may require changes to your itinerary, such as:
bad weather
road closures
flight delays
safety concerns
government restrictions
Any additional expenses resulting from such changes (extra accommodation, meals, transport, etc.) are the traveler’s responsibility.
7. Code of Conduct
During the trek, travelers are expected to:
respect local customs and communities
follow instructions of the guide
protect the natural environment
avoid behavior that harms or disturbs others
Nepwise may remove a traveler from the trek (without refund) if behavior becomes unsafe, unlawful or severely disruptive.
Travelers are responsible for their own belongings.
8. Complaints
Most concerns can be solved by speaking to your guide.
If an issue remains unresolved, you must submit the complaint in writing within 5 days after the trek ends. We will review your case and aim to provide a fair solution.
9. Travel Insurance
Travel insurance is mandatory for all Nepwise trekkers.
Your policy must cover:
emergency helicopter evacuation
medical treatment
trip interruption or cancellation
personal liability
loss or theft of belongings
You must carry proof of insurance during the trek.
Nepwise is not responsible for any costs caused by lack of insurance coverage.
10. Emergency Helicopter Evacuation
If a traveler becomes seriously ill or injured:
The guide assesses the situation
Nepwise coordinates rescue with authorized helicopter companies
Traveler or insurer must contact their insurance provider immediately
Insurance company may issue a case reference number
Helicopter company may request a credit card deposit
All evacuation costs are the traveler’s responsibility unless fully covered by insurance.
11. Limitation of Liability
Nepwise’s total liability is limited to the amount you paid for your booking.
We are not liable for:
missed flights
additional hotel nights
delays caused by third-party providers
weather-related interruptions
government actions or natural events
12. Use of Our Platform
By using Nepwise, you agree to:
provide accurate information
use the platform respectfully
not manipulate or misuse booking systems
understand that group matching is optional and informational
13. Governing Law
All bookings with Nepwise Adventures fall under the legal jurisdiction of Nepal.
14. Photography and Media Use
During the trek, photos or videos may be taken for memories, safety or promotional use.
By joining a Nepwise trek, you allow us to use group photos where you may appear unless you request otherwise.
You may opt out at any time.
15. Group Communication Guidelines
Nepwise provides a group chat for coordination.
Travelers must use this feature respectfully.
Spam, harassment or inappropriate messages may lead to restricted access.
16. Baggage & Porter Responsibility
Porters carry your bag with care, but Nepwise is not responsible for loss or damage to items inside your baggage. Valuables should be kept in your daypack.
17. Trek Cancellation by Nepwise
Nepwise may cancel a trek due to:
natural disasters
political unrest
government restrictions
safety emergencies
In such cases:
You receive a full refund of the amount paid to Nepwise
We are not responsible for external expenses like flights or hotels
18. Accommodation Conditions
Mountain accommodation is simple and may vary.
Nepwise cannot guarantee heating, hot water, WiFi or specific room types.
Nepwise ensures the availability of tea houses as per the condition.
19. Accuracy of Information
We aim to provide accurate information, but trekking times, conditions and tea house facilities may vary due to weather, fitness levels or local circumstances.
