We understand that travel plans do not always go exactly as expected. This Refund Policy explains how cancellations, date changes, and refunds are handled, so you clearly know what to expect before booking.
Please note that some costs, such as government-issued trekking permits, cannot be refunded once they have been processed. Refund percentages apply only to the amount paid directly to Nepwise Adventures.
1. Cancellation by Client
If you cancel your trek before it starts, refunds are handled based on how early you inform us:
If you need to cancel your trek, cancellations must be submitted in writing via email to contact@nepwise.com. Please include your booking reference number. Refunds are calculated based on how early you inform us and any non-recoverable costs already committed.

Last-minute bookings (made within 10 days of the trek start date) are strictly non-refundable regardless of the above tiers, as permits and logistics are committed immediately upon booking.
Trekking permits are non-refundable once issued by government authorities, regardless of cancellation timing.
Costs paid on the trail (meals, accommodation, personal expenses) are not refundable under any circumstances.
Once a trek has started, refunds are not possible, even if you leave early or miss part of the itinerary.
2. Bookings Involving Minors
For treks that include a traveler between the ages of 12 and 17, the same cancellation and refund tiers apply. The parent or legal guardian who completed the booking is responsible for submitting any cancellation request in writing. No special exceptions to the refund tiers apply solely on the basis of the traveler being a minor.
3. Changes to Trek Dates & Postponements
We understand that sometimes plans change and you may want to move your trek to a different date instead of cancelling it. Please contact us as early as possible if you wish to reschedule.
40 or more days before the trek start date: We can usually adjust your dates, subject to guide availability and permit conditions.
30 to 39 days before the trek: Date changes may still be possible, but additional costs can apply (such as reissuing permits or adjusting transport).
Fewer than 30 days before the trek start date: Date changes are not guaranteed and may be treated as a cancellation under the refund tiers above.
Any additional costs required to reschedule a trek are the responsibility of the traveler.
4. Emergencies and Special Situations
We understand that genuine emergencies can happen, such as serious illness, family emergencies, or unexpected travel restrictions. If you face a serious and unavoidable situation, please contact us as soon as possible.
While we cannot guarantee refunds outside the standard policy, we will review each case carefully and do our best to support you where possible, depending on what costs have already been committed. Permits, guide commitments, and transportation arrangements are often fixed once confirmed and may limit what can be refunded or changed.
5. Trek Cancellation by Nepwise Adventures
In rare situations, Nepwise may need to cancel a trek due to circumstances beyond our control, including:
Natural disasters or severe weather.
Political unrest or government restrictions.
Safety emergencies.
If Nepwise cancels the trek:
You will receive a full refund of the amount paid to Nepwise Adventures.
We are not responsible for external expenses such as international flights, hotel bookings, or visa costs.
6. Unforeseen Interruptions During the Trek
Sometimes treks are interrupted due to reasons beyond anyone's control, such as bad weather, illness, landslides, road closures, or safety concerns. If this happens after the trek has already started, Nepwise cannot guarantee refunds, because many costs, such as guide wages, permits, and transportation, are already paid and cannot be recovered.
If any service providers (such as transport companies or lodges) offer refunds, we will pass those refunds on to you where possible. However, partial refunds are not automatic.
7. How Refunds Are Processed
7.1 Refund Method
If a refund is approved, it will be issued using the same payment method used for the original booking, where possible. Refunds are processed via bank transfer only. Cash refunds are not issued, even if the original payment was made in cash.
7.2 Processing Fees
Any bank or transfer fees charged during the refund process are the responsibility of the traveler. Nepwise will issue the approved refund amount net of any such fees.
7.3 Processing Time
Once your cancellation request is confirmed and approved, refunds are usually processed within 7 to 14 business days. Processing time may vary depending on banks, payment providers, international transfer timelines, or public holidays. We will inform you if any unexpected delays occur.
