At Nepwise Adventures, we believe in clarity, fairness and simple communication. Our refund policy is designed to be easy to understand and aligned with the way Nepwise operates. Because we only charge for essential trekking services such as your guide, permits and transportation, our cancellation rules are more flexible than traditional trekking packages.
This page explains how refunds work, what is refundable, what is not, and how we handle changes to your trek.
1. Refunds for Trek Cancellations
If you need to cancel your trek, refunds are provided based on how early you inform us. This helps us manage guide arrangements, permit processing and other preparation costs.
If you cancel 21 days or more before the trek start date, you will receive a full refund except for permit fees that may already have been issued.
If you cancel between 30 and 40 days before the trek start date, you will receive a 50% refund.
If you cancel between 15 and 25 days before the trek start date, you will receive a 25% refund.
If you cancel less than 10 days before the trek start date, the booking becomes non-refundable.
If you face a genuine emergency, we encourage you to contact us. We will try our best to help within the limits of what is possible.
2. Permit Fees Are Non-Refundable
Permits in Nepal are issued under your name and cannot be cancelled, reused or transferred.
If your permit has already been processed, this portion of the payment cannot be refunded.
We will always inform you when your permit has been issued for full transparency.
3. No Refunds After the Trek Begins
Once the trek has started, refunds cannot be provided for unused services. This includes decisions to stop early, skip days or make personal changes to the plan.
If you experience medical issues or emergencies, your guide and our support team will assist you fully, but unused services are not refundable.
4. Postponing or Changing Trek Dates
If you wish to postpone your trek, we can usually accommodate date changes when requested 21 or more days before the start date. Additional permit fees may apply if new permits are required.
If the request is made within 20 days of departure, extra charges may apply depending on guide availability, permit status and transportation adjustments.
We always try to be flexible, and each case is handled individually.
5. Refunds for Tea Houses, Meals and Personal Expenses
Nepwise does not collect advance payment for accommodation, food, drinks, WiFi, charging or similar services on the trail. These expenses are paid directly by the traveler.
Because Nepwise does not control or charge for these services, we cannot issue refunds for them or take responsibility for their pricing, availability or quality.
This keeps your spending flexible and under your own control.
6. Refunds for Travel Disruptions
Sometimes trekking plans are affected by events outside anyone’s control. These may include heavy weather, landslides, road closures, flight cancellations or government restrictions.
Such situations may require itinerary changes or additional nights in tea houses or towns. Any extra expenses resulting from these changes are the traveler’s responsibility.
Nepwise will always help you find the most practical and affordable solutions, but we cannot refund disruptions caused by external factors or third-party service providers.
7. Helicopter Evacuation Costs
If helicopter evacuation becomes necessary, the cost is the traveler’s responsibility unless fully covered by your insurance provider.
Nepwise helps with coordination, communication and support, but we do not issue refunds for helicopter costs, delays caused by weather or situations where insurance companies deny claims.
This is why travel insurance with evacuation coverage is mandatory for all Nepwise trekkers.
8. How to Request a Refund

Include your full name, booking reference, trek name, original trek date and the reason for cancellation.
Refunds are usually processed within seven to fourteen business days depending on your payment method and bank procedures.
